Artisan Adventures Ltd (“we”, “us”, “our”) is the data controller for personal information we collect through artisanadventurescampervans.co.uk and in connection with your campervan hire. This policy explains what we collect, why, and what rights you have.

1. Who we are

2. What we collect

       Contact details: name, postal address, email address, phone number.

       Booking details: hire dates, chosen vehicle, add-ons, pick-up/drop-off arrangements, special requests (e.g. pets).

       Driving licence details: licence number, category and expiry, held for every driver named on the booking.

       Proof-of-address documents: copies of a utility bill plus a council tax, bank, credit card, or telecoms statement, dated within 90 days of hire, for each driver — required by our insurer.

       DVLA driving licence check code, obtained from you 21 days before hire, used to verify licence validity and endorsements.

       Payment information: processed by Stripe (card payments) or via BACS transfer; we don't store your full card details ourselves.

       Vehicle handover records: condition report, mileage and fuel readings, and photos, taken at collection and return.

       Vehicle location/tracking data: our campervans are fitted with GPS trackers, used to support safe and compliant use of the vehicle during your hire and to help us recover the vehicle if it isn't returned as agreed.

       Correspondence: emails, messages, and call notes relating to your enquiry, booking, or any incident.

       Website usage data via cookies (see Section 7).

3. Why we use it, and our legal basis

       To take and manage your booking and provide the hire necessary to perform our contract with you.

       To verify you're eligible to drive (age, licence validity, address, DVLA check) our legitimate interest in safe hire and fraud prevention, and to meet requirements set by our insurer.

       To locate the vehicle via GPS if it isn't returned as agreed, and to support insurance and safety compliance our legitimate interest in protecting our vehicles and other road users.

       To take payment, hold and (where needed) deduct from your security deposit, and recover any amounts owed for damage, excess mileage, fuel, fines, or late return necessary to perform our contract, and our legitimate interest in recovering legitimate costs.

       To respond to enquiries and handle incidents (breakdown, accident, complaints) necessary to perform our contract and our legitimate interest in resolving issues.

       To keep financial and insurance records our legal obligation (tax law, insurance requirements).

       To send you marketing about future trips or offers only with your consent, which you can withdraw at any time.

4. Who we share it with

We don't sell your data. We share it only where needed to run the business:

       Shopify, our website and payments platform, and Stripe, our card payment processor.

       The DVLA, to verify your driving licence via the official Share Driving Licence check.

       Allianz Insurance plc, our vehicle insurer, and the Salvation Army General Insurance Corporation Limited (Sagic), who provide our public liability and motor excess protection cover, if you make a claim or we need to verify your eligibility to drive.

       Call Assist Limited, our breakdown and recovery provider, if you need roadside assistance.

       Our accountant, for bookkeeping and tax purposes.

       Law enforcement or regulators, where we're legally required to.

Some of these providers (including Shopify and Stripe) may process data on servers outside the UK/EEA. Where that happens, it's covered by standard contractual clauses or an equivalent legal safeguard recognised under UK GDPR.

5. How long we keep it

       Booking, handover and payment records: 6 years after the hire, in line with tax and insurance record-keeping requirements.

       Driving licence copies, proof-of-address documents, and DVLA check codes: at least 2 years after the hire ends, in line with our insurer's requirement to retain signed rental agreements and driver documentation for that period.

       GPS tracking data: 2 years after the hire ends

       Marketing consent: until you unsubscribe or ask us to stop.

6. Your rights

Under UK GDPR you have the right to: ask what personal data we hold about you and get a copy; ask us to correct inaccurate data; ask us to delete data we no longer need; ask us to restrict or object to certain processing; ask for your data in a portable format; and withdraw consent to marketing at any time.

To exercise any of these, email artisanadventureltd@outlook.com. If you're unhappy with our response, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or 0303 123 1113.

7. Cookies

Our website uses cookies that are strictly necessary for it to function, plus analytics and, if enabled, advertising cookies. Non-essential cookies are only set with your consent, which you can give, refuse, or change at any time via the cookie banner shown when you first visit.

8. Children

Our service is for hirers aged 21 and over and isn't directed at children. We don't knowingly collect personal data from children.

9. Changes to this policy

We may update this policy from time to time; the “Last updated” date at the top will change when we do.
